This notice explains what personal data we collect when you visit our website, sign up to our emails, book a call or work with us, how we use it, and your rights.

1Who we are

Lixue Advisory Limited is a company registered in England and Wales (company number 16953544), with its registered office at 5th Floor, 167–169 Great Portland Street, London W1W 5PF ("we", "us", "our").

We are the controller of the personal data described in this notice, and we are registered with the Information Commissioner's Office (ICO) under registration number ZC159747.

2What we collect

Depending on how you deal with us, we may collect:

  • Contact details: name, email address, phone number, business name and address.
  • Business information: details about your business, offer, pricing, pipeline and goals that you share with us.
  • Engagement records: session recordings and transcripts, notes, messages (including email and WhatsApp), documents and materials exchanged during an engagement.
  • Payment and billing details: what you paid, when, and billing information. Card payments are handled by Stripe; we do not see or store your full card number.
  • Marketing data: your email address and subscription preferences if you sign up to our emails or training, and whether you open or click our emails.
  • Scheduling data: information you give when you book a call.

We collect most of this directly from you. We do not intentionally collect special category data (such as health information). If you choose to share it during a session, we will treat it with extra care and use it only to support that session.

4Call recordings

We record coaching, advisory and content interview calls so that we can refer back to them, prepare your deliverables and keep an accurate record of the work.

We will tell you at the start of an engagement, or before a call, that calls are recorded. If you would prefer a particular call not to be recorded, tell us and we will respect that where we reasonably can, although it may affect our ability to produce some deliverables.

Recordings may be transcribed using automated or AI-assisted tools.

5Use of AI tools

We use AI assistants to help us draft content, prepare Action Plans and think through client work. This may involve sharing relevant engagement information, such as notes or transcripts, with the provider of that tool.

We only share what is needed for the task, we review all AI-assisted output ourselves, and we do not use AI to make decisions about you that have legal or similarly significant effects.

6Who we share it with

We do not sell your personal data. We share it only with service providers who help us run the business, on terms that require them to protect it. Our providers currently include:

  • Payments: Stripe
  • Scheduling and calendar: Calendly and Google Workspace
  • Video calls and messaging: Zoom and WhatsApp
  • Electronic signatures: BoldSign
  • Email marketing: MailerLite
  • Client records and CRM: OnePageCRM and Airtable
  • AI assistants, as described above
  • Website hosting: Hostinger

We may change providers from time to time; any replacement will be of the same kind and held to the same standard. We may also share data with professional advisers (such as accountants and lawyers), and with authorities where the law requires.

7International transfers

Several of our providers are based in, or store data in, the United States or other countries outside the UK. Where data is transferred outside the UK, we rely on safeguards recognised under UK law, such as the UK–US Data Bridge, adequacy regulations, or the ICO's International Data Transfer Agreement or Addendum.

When data is no longer needed, we delete it or anonymise it.

9Keeping it secure

We use reputable providers, strong passwords and two-factor authentication where available, and we limit access to people who need it. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data.

10Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct inaccurate data
  • ask us to delete your data, where we no longer have a reason to keep it
  • ask us to restrict or stop using your data, or object to how we use it
  • ask for your data in a portable format
  • withdraw consent at any time, where we rely on it (for example, by unsubscribing from emails)

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.

11Cookies

Our website does not use analytics or advertising cookies. Our email sign-up forms are provided by MailerLite, which may use cookies or similar technology needed for the forms to work and to prevent spam.

We may update this notice from time to time. The latest version will always be on this page, with the date it was last updated.
